Job offer: part-time employee for the secretariat

The German Historical Institute Warsaw, an institute of the Bonn-based Max Weber Foundation, is looking for a part-time employee (0.5 position) for its secretariat as of February 1, 2025. The workplace is Warsaw, Aleje Ujazdowskie 39. The employment contract is initially 2 years, but an extension is possible after probation.

The job mainly covers the following areas:

  • Processing selected correspondence of the Institute;
  • Participation in the conceptualization and organization of the Institute’s events;
  • Coordination of appointments and calendar management;
  • Coordination of the Institute’s internal communication;
  • Organizational support for the Directors;
  • Organizational support for the Institute’s guests (e.g., hotel reservations, travel coordination);
  • Taking meeting minutes in Polish, German, and English.

Applicants must have the following qualifications:

  • Excellent language skills in Polish, German, and English;
  • Knowledge of Windows 11 as well as MS Office and MS Office 365 with particular emphasis on Word, Excel, and Outlook;
  • High personal standards;
  • Good time management, planning, and organizational skills;
  • Social skills and ability to work in a team;
  • Willingness to develop language and digital skills.

Desirable additional qualifications:

  • Professional experience as a secretary, assistant;
  • Professional experience in an academic institution;
  • Interest in research, especially history.

Polish law governs the terms of the employment contract. Remuneration is based on the scheme the German Embassy in Warsaw applies to local employees. The starting salary for a 0.5 position is 5 765.50 PLN gross per month.

Applicants who are shortlisted will be invited to a personal interview. The interviews are expected to take place in January 2025.
